About the Role

1. Meeting Administration:
Coordinate with the board chair and executive director to schedule board meetings and distribute meeting notices.
Prepare and distribute meeting agendas and supporting materials to board members in advance.
Ensure that meetings are well-organized and that minutes are taken.

2. Meeting Minutes:
Attend all board meetings and accurately record meeting minutes, capturing key discussions, decisions, and action items.
Prepare draft meeting minutes promptly and distribute them to board members for review and approval.
Maintain a record of all approved meeting minutes for reference and compliance.

3. Board Records:
Maintain an organized and accessible record of board-related documents, including bylaws, policies, and official resolutions.
Ensure that board members have access to up-to-date governance documents.

4. Correspondence:
- Handle official correspondence on behalf of the board, such as thank-you notes, official letters, and notifications.
- Maintain a record of incoming and outgoing correspondence.

5. Board Support:
Provide support to board members in their roles, such as helping with orientation and onboarding of new members.
Assist in board committee coordination and communication.

6. Filing and Compliance:
Ensure that the organization maintains compliance with legal and regulatory requirements regarding board activities and records.
Assist in the preparation and submission of required reports and filings.

7. Communication and Notifications:
Help disseminate important information and decisions to the organization's staff, volunteers, and stakeholders as directed by the board.

Time Commitment:
Quarterly board meetings, additional tasks between meetings, and time for record-keeping

The Board Secretary plays a crucial role in maintaining the integrity and transparency of the Acadiana Queer Collective's board activities. Their work helps ensure that board decisions are well-documented and communicated effectively, contributing to the organization's success and accountability.

Requirements

  • A strong commitment to the mission and values of the Acadiana Queer Collective.

  • Excellent organizational and administrative skills.

  • Strong attention to detail and accuracy in record-keeping.

  • Effective communication and writing skills.

  • Familiarity with non-profit governance and board operations is a plus.

  • LGBTQ+ community involvement and familiarity with local issues preferred.

Welcome to the Acadiana Queer Collective, a 501(c)(3) nonprofit organization established in 2022 with a passion for fostering a vibrant and inclusive community for queer individuals in the Acadiana region.
